· Full names, email addresses, phone numbers, fax numbers, and physical addresses.
· Company names, corporate email addresses, physical addresses, and job positions.
· IP addresses, geographical locations based on IPs.
· Request-related data: source/target languages, word counts, document types, deadlines, delivery preferences, accepting authorities, spelling preferences, comments.
· Uploaded documents (via website, email, messengers, or physical delivery).
· Page URLs, form IDs, UTM tags.
· Information from cookies and other tracking technologies.
· All communication data via calls, emails, SMS messages, chats, messengers, virtual meetings (Zoom, Google Meet, etc.).
· Payment data depending on method (see section 3).
· Data from your reviews: name, account links, review texts, attachments.
All customer data is collected, stored, and retained indefinitely unless deletion is requested.
3. Payment-Related Data CollectionDepending on the method of payment, we may collect:

Interac e-transfer: email/phone used, name linked to sender, sender’s bank.

Credit/debit card via Clover/Stripe: full name, country, email, card type, card platform, and last 4 digits of the card.

PayPal: full name, email, shipping address, card type, and the last 4 digits of the card (if applicable).

Bank cheques: organization name, bank name, account number (if visible), contact details.
·
Cryptocurrency: withdrawal address and platform.
4. Cookies and Tracking TechnologiesWe use cookies and similar technologies to track website traffic, improve performance, and enhance marketing. Continued use of our website implies consent to such tracking.
5. Third-Party PlatformsWe use third-party platforms, including but not limited to:

We are not responsible for the privacy policies or actions of these platforms.
6. Data Retention and Cross-Border TransfersCustomer data is stored indefinitely and may be transferred outside of Ontario and Canada, primarily for operational purposes such as identifying a suitable translator or service provider. By using our services, customers consent to such transfers.
7. Quebec Law 25 (Bill 64) ComplianceWe designate Igor Isaev, our director, as the person responsible for personal information.
By submitting a request or using our website, you consent to our privacy practices and acknowledge that your data may be transmitted outside Quebec. You may contact us to access or request the correction/deletion of your data.
8. Language and Legal ProceedingsWe strive to communicate with customers in their preferred language, including English and French. However, for all legal interpretation, proceedings, or documentation, the English version shall prevail, and all legal processes shall be conducted in English.
9. Minor PolicyOur services are only available to individuals of legal age in their jurisdiction. Minors may use our services only through a parent or legal guardian.
10. Legal DisclaimerWe do not provide legal, immigration, or other professional advice. Our services are limited to language-related and document-handling tasks (translation, apostille, legalization, shipping). All information is provided "as is," and clients should consult licensed legal professionals for advice.
11. Certification Refusal ClauseWe reserve the right to refuse certification of any document that is incomplete, illegible, altered, appears fraudulent, or fails to meet required standards.
12. Document Delivery TermsBy requesting our delivery service, clients agree to:
1. Provide accurate address details.
2. Accept that delivery is a courtesy, not a guaranteed or insured service.
3. Resolve courier issues directly with the delivery company.
4. Reimburse us for the returned shipment costs caused by their errors.
5. Pay a $5.65 CAD fee for re-shipping regular mail.
6. Compensate for any added courier surcharges.
7. File claims for lost/damaged shipments directly with the courier.
8. Understand that custom envelope notes are not guaranteed.
9. Know that unclaimed returns are destroyed after 30 calendar days.
10. Report delivery issues within 10 calendar days.
11. Accept all terms by placing a delivery request.
13. Marketing and Communication ConsentBy submitting your information, you agree to receive transactional and marketing communications in any of the channels provided (email, SMS messages, calls, messengers) indefinitely, unless you opt out by replying “STOP” or clicking “Unsubscribe.”
14. Data Access and Deletion RequestsTo request access to or deletion of your data, contact:

15. Disagreement with PolicyIf you disagree with this policy, contact us before submitting a request. If you still choose to contact us, we will retain minimal identifying data (email, name, message content).
16. Governing LawThis policy is governed by the laws of Ontario and Canada. Legal proceedings must be conducted in Ontario, in English only.

DISCLAIMERWe guarantee that all our work is carried out accurately and to the fullest extent possible, based solely on official information available from government institutions and official websites. However, we do not and cannot guarantee the actions, timelines, or performance of third-party entities such as government offices (including those processing apostilles, authentication, and legalization, such as Global Affairs, Ontario Document Services, etc.), Canada Post, courier services, Chambre des notaires du Québec (CNQ), Barreau du Québec, embassies and consulates, notaries, and lawyers. We cannot be held responsible for delays, errors, or failures on their part.

20. Refund PolicyWe are committed to providing high-quality and reliable translation services. Due to the nature of custom work, we maintain the following refund policy:
20.1. CancellationsA refund is only possible if the order has not yet been assigned to a translator.
Once the project is assigned to a translator (usually within a few minutes after payment is received), the order is considered in progress and is no longer eligible for cancellation or refund.
20.2. Non-Refundable CasesRefunds will not be issued for completed translations that were delivered according to the agreed specifications.
If a translation is rejected by a third party (e.g., government, institution) due to reasons not related to the quality of the translation, no refund will be issued. We strongly encourage clients to confirm acceptance criteria prior to placing an order.
20.3. Quality DisputesIf you believe the delivered translation contains errors or does not meet the agreed requirements, please contact us within 7 calendar days of delivery. We will review your concerns and, if necessary, get the translations revised free of charge. We may decline your suggested revisions if we don’t agree with them.
Any comments or concerns about the completed translations that are shared after the period of 7 calendar days since their delivery has passed may or may not be considered and taken into processing.
Refunds will only be considered if you fulfilled your obligation to contact us within 7 calendar days after the delivery of translations, and we are unable to correct the issues in a reasonable timeframe and/or number of revisions.
20.4. Non-DeliveryIf we fail to deliver the translation by the agreed deadline and no prior notice was given, you may be eligible for a full or partial refund, depending on the circumstances.
20.5. Force MajeureWe are not responsible for delays caused by postal or courier services, email failures, IT failures, public holidays, or unforeseen events beyond our control (e.g., natural disasters, technical failures, strikes, etc.).
