📬 Delivery by Regular Mail

We can send hard copies of translations via regular Canada Post mail—in a standard envelope with affixed postage stamps.

We cover all expenses related to packaging: paper, ink, staples, envelopes, and boxes, if needed.

For regular mail within Canada, we cover the cost of postage stamps. This type of mailing is free of charge for the client.

For regular mail to another country, we charge the actual shipping cost based on postal rates, as well as a fixed fee of $20 CAD for handling and dispatch. The total amount will be communicated to you once confirmed, and we will kindly ask you to reimburse it.

❗ Please note that regular mail shipments are not tracked—a tracking number is not provided. This means that in the event the letter is lost, it will not be possible to track it or file an official inquiry.

Canada Post does not guarantee delivery times for regular mail. Based on our experience, delivery typically takes 1–2 weeks within Canada, and longer for international destinations, but we cannot guarantee exact timeframes.

Mail delivery procedures may vary depending on your address and country. For private homes in Canada, letters may be delivered to a mailbox on the façade or left at the door. In some areas of Canada, community mailboxes are used. Apartment buildings in Canada typically have a designated person responsible for distributing mail.
We recommend checking in advance with your local post office to find out how mail is delivered to your specific address.

✉️ Delivery via Xpresspost (Recommended!)

We offer delivery of hard copies of translations via Xpresspost by Canada Post—this is a reliable and fast shipping option.

📍 Within Canada:
We charge $25 + tax = $28.25 CAD for the delivery using Xpresspost.
Delivery typically takes 2–3 business days, depending on the region.

🌍 For international shipments:
The cost will be calculated individually based on Canada Post rates at the time of shipping. We will inform you of the amount in advance and ask you to cover it before the shipment is made.

📦 Tracking:
A tracking number will be provided for all shipments, allowing you to track the delivery status yourself on the Canada Post Tracking website.

If you would like the letter to be delivered personally to the recipient upon presentation of ID, please let us know before the shipment is arranged. This additional service, called "Signature", costs $2 + tax.

🚀 Delivery via Priority Mail

Delivery of hard copies of translations via Priority Mail by Canada Post is the fastest (and most expensive) shipping option offered by Canada Post within Canada.

📦 Delivery time:
Letters are usually delivered on the next business day after shipment.

💰 Cost:
We charge exactly the amount requested by Canada Post. The cost will be communicated to you in advance, and we will ask you to cover it prior to shipment.

🔎 Tracking:
A tracking number is provided for all Priority shipments, allowing you to track the letter on the Canada Post Tracking website.

If you would like the letter to be delivered personally to the recipient upon presentation of ID, please let us know before the shipment is arranged.
This additional service, called "Signature", costs $2 + tax.

✉️ Delivery via Chit Chats (Recommended!)

We also offer delivery of paper copies of translations within Canada via the courier service Chit Chats, using their Chit Chats Select option.

This Chit Chats Select option allows bypassing the Canada Post mail carrier network and remains available even in the event of a Canada Post strike.

❗️Chit Chats Select has coverage limitations — not all addresses are eligible for courier delivery. We can verify any restrictions for your address once we begin creating the shipping label. If delivery to your address is not possible, we will offer alternatives such as Xpresspost at the same cost.

❗️Within Canada, Chit Chats Select does not deliver to PO boxes, rural “RR” or “LCD” addresses, or to Newfoundland and Labrador, the Northwest Territories, Nunavut, and Yukon.

📍 Within Canada:
We charge $25 + tax = $28.25 CAD for the delivery using Chit Chats Select.
Delivery typically takes 2–8 business days, depending on the region.

📦 Tracking:
A tracking number will be provided for all shipments, allowing you to track the delivery status yourself on the Chit Chats website.

📦 Delivery via UPS, FedEx, Purolator

We can also send hard copies of translations using courier services such as UPS, FedEx or Purolator. These options are typically more expensive than Xpresspost, but may be convenient in certain cases.

💰 Cost:
We charge the actual amount quoted by the chosen courier service, plus a $20 CAD fee to cover processing and travel to the courier office.

🔍 The final shipping cost is only known once the shipping label is created, as courier rates may vary daily.
At the shipping stage, we request a prepayment, based on the average cost of delivery:
  • UPS: Prepayment of $57 ($37 of them — average shipping cost within Canada, $20 — our service fee for processing and dispatch).
  • FedEx: Prepayment of $78 ($58 — average shipping cost within Canada, $20 — our service fee for processing and dispatch).
  • Purolator: Prepayment of $88 ($68 — average shipping cost within Canada, $20 — our service fee for processing and dispatch).
If the actual shipping cost exceeds the prepayment amount, we will contact you to request reimbursement of the difference.

🔎 Tracking:
In all cases, a tracking number will be provided, allowing you to monitor the shipment status and delivery date on the respective courier's website:

🚗 Delivery via Uber / Lyft driver

We can arrange for an Uber or Lyft driver to personally deliver your envelope by hand. This is the fastest delivery method, but it is only available to recipients located within 100 km of Vaughan, Ontario.

💰 Cost:
We charge the actual amount quoted by Uber or Lyft for the delivery, plus a $20 CAD fee to cover the organization and handoff of the shipment.

The amount will be calculated in advance, and we will request prepayment. If the final cost ends up being higher after dispatch, we will contact you to collect the difference.

🔎 This method is especially convenient for urgent and local deliveries.

🏢 Pickup from our Commissioner for Oaths (Vaughan, Ontario)

You can pick up hard copies of translations free of charge from our Commissioner for Oaths in Vaughan, Ontario, after confirmation that the documents are ready for collection.

📬 The translations will be placed in an envelope with your name on it, in the mailbox by the entrance. You may pick them up at anyconvenient time — 24/7.

⚠️ Please do not arrive without prior confirmation.
The exact address will be provided after you choose this delivery option.

🌍 International delivery via DHL

We can arrange the shipment of hard copies of translations through DHL — one of the fastest and most reliable international courier services.
Please note: DHL does not deliver within Canada, only to other countries.

💰 Cost:
We charge the actual amount quoted by DHL for the specific shipment, plus a $20 CAD fee to cover label processing and travel to the DHL office.

📦 Payment process:
We will inform you of the shipping cost after calculating it on the DHL website and will request prepayment.

If the final amount turns out to be higher after the shipment is arranged, we will contact you to request the difference.

🔎 Tracking:
DHL provides a tracking number, which you can use to monitor the status of your shipment on the official DHL Tracking website.

📬 Delivery to Ukraine via Meest

We can send hard copies of translations to Ukraine using the Meest courier service.
Shipments are routed through Poland, so the delivery time is typically around two weeks.

💰 Cost:
We charge the amount quoted by Meest (on average around $35 CAD), plus a $20 CAD fee to cover travel to the Meest office and processing of the shipment.

📦 Payment process:
We will inform you of the exact cost before shipping and request the corresponding prepayment.
If the final cost is higher after shipment, we will contact you to request the difference.

🔎 Tracking:
Once the shipment is sent, you will receive a tracking number that allows you to track the delivery on the Meest Tracking website.

📦 Delivery to Russia and Belarus via Polar Express

Due to sanctions, Canada Post, UPS, DHL, FedEx, and Purolator do not deliver to Russia or Belarus.
We offer delivery of hard copies of translations to these countries via the Polar Express courier service.

💰 Cost:
We charge the actual amount set by Polar Express (on average around $70 CAD), plus a $20 CAD fee to cover the organization of the shipment and travel to their office.

📦 Payment process:
We will inform you of the cost before shipping and request prepayment.
If the final amount is higher after shipment, we will contact you to request the difference.

🔎 Tracking:
Once the shipment is sent, you will receive a tracking number to monitor the delivery status on the Polar Express Tracking website.

✍️ To arrange the shipment, we will need the following information:
  • Full name of the recipient,
  • Phone number,
  • Full mailing address, including postal code and apartment number (if applicable).
By placing or confirming a delivery service order through us, the client confirms their full understanding and agreement with the above-mentioned terms.
Any client requesting our document delivery services agrees to the following terms:
  1. The client is responsible for providing a complete and accurate address, including apartment number, postal code, etc.
  2. We are not employees of postal or courier services and, therefore, bear no responsibility for their actions or inactions. All liability for delivery lies with the respective postal or courier companies. Delivery services are provided by our staff “as is” solely as a courtesy and in addition to our translation services. We assume no financial responsibility if documents are lost, damaged, or misdelivered due to the client’s error or the fault of the delivery service.
  3. In the event of disputes, misdeliveries, lost shipments, customs delays, strikes, returns, or other situations resulting in non-delivery, the client is solely responsible for contacting and resolving the issue directly with the postal or courier company. We have no ability to influence the decisions made by these third-party organizations.
  4. If a shipment is returned to us for any reason and the courier charges us for the return, the client agrees to fully reimburse us for these costs if the return was due to the client's error (e.g., incorrect or incomplete address, missing apartment number, the client changed address or failed to pick up the package, etc.).
  5. If regular mail is returned to us due to the client’s error (e.g., an incomplete or incorrect address, the client moved, etc.), we charge a reshipping fee of $5 + tax = $5.65 CAD for regular mail within Canada.
  6. If a shipment is redirected or if the courier applies additional fees after the shipping label is created (e.g., for redirection, pickup or delivery surcharges, redelivery, delivery to residential or remote areas, etc.), the client agrees to fully compensate us for these extra costs.
  7. If the client wishes to file a claim for lost or damaged mail, they must do so directly with the courier company and handle the entire claims process independently.
  8. Upon the client’s request, we can add custom notes to the envelope (e.g., “Please call this phone number…”, “Buzzer code…”, “Leave at reception”, etc.). However, we cannot guarantee that the courier will follow these instructions and are not responsible if they are not followed.
  9. If a shipment is returned to us for any reason and the client does not respond to our request regarding how to proceed, the documents will be securely destroyed after 30 calendar days to protect client confidentiality.
  10. The client must report any delivery issues or non-receipt of a shipment within 10 calendar days of the actual or expected delivery date. No claims will be accepted after this period.
  11. By placing or confirming a delivery service order through us, the client confirms their full understanding and agreement with the above-mentioned terms.
