Usually, a notary public compares the copy with the original (or with a high-quality printout of an electronic document, if permitted) and certifies that it is a complete and accurate reproduction of the original document. In Canada, several terms can be used as synonyms or close equivalents of a True Copy (a notarized certified copy):

• Notarized Copy – the most common term, frequently requested by organizations.
• Certified True Copy – the formal designation, used by many notaries.
• Notarial Copy – sometimes found in legal and immigration contexts.
• Notarially Certified Copy – an extended form that emphasizes the notary’s role.
• Certified Copy of the Original – may appear in the requirements of government agencies.

In everyday practice, the terms Notarized Copy and Certified True Copy are the most widely used, and they are generally understood to mean the same thing.

Important: For documents intended for international use (e.g., immigration, foreign applications, legal matters abroad), certified copies must be made by a Notary Public, as only notarized copies are officially recognized outside of Canada.

Each organization — whether IRCC, a university, a bank, or a foreign consulate — may have its own wording, layout, or certification requirements. Because of this, even properly prepared copies sometimes need to be redone or corrected.

There are three options for obtaining True Copies, which differ slightly in cost and processing time.

Option 1: With the Original Paper Document
Applies to all documents issued in paper form, such as birth certificates, marriage certificates, divorce certificates, death certificates, diplomas, and others.

Option 2: With the Original Electronic Document
Applies to documents issued electronically without a paper original, such as police clearance certificates, certain court documents, bank statements, utility bills, and others.

Option 3: With a Scan of the Original Paper Document
If permitted by the accepting organization.
Applies to documents issued in paper form that cannot be sent as originals, such as passports, driver’s licenses, and other identity documents.

• Since the notary certifies each page of the document, the price is $75 per page.
• If you have a long document on multiple pages or multiple documents, the notary can prepare one notarial declaration covering the entire package — flat fee $100 per package plus $25 for each certified page. Important: documents will be assembled together and must always be used together; not all organizations accept this format.
• Obtaining a True Copy takes just one day, plus additional time for mailings, if applicable. Delivery within Canada usually takes around 2 days.
• If you need a translation of your certified copy into another language, whether for a Canadian organization or a foreign consulate, we can assist with that as well. We usually charge $58–$88 per page (depending on the language pair) for translations. Translations usually take 1–3 days.
• If you have a large volume of documents, it is always possible to arrange a discount for True Copies and translations.

An additional 13% HST will be added on top.
